Procede Software Announces Partnership with CRM Provider Telenotes
Procede Software has partnered with Telenotes, an innovative Customer Relationship Management (CRM) application. Together, we have developed a powerful integration with our Excede® Dealer Management System (DMS) to provide greater visibility into a sales team’s activity and performance.
With this partnership, sales people will be able to automatically have verbal customer notes “transcribed” and posted to a customer record, as well as access to historical archives of notes in Excede DMS when needed. In addition, Customer Contacts, Employee and Repair Order (RO) information will be automatically synced between Excede DMS and Telenotes CRM, eliminating the need for the double entry of data, and ensuring that both Excede DMS and Telenotes CRM systems’ data are always up-to-date.
“This partnership is an example of when traditional sales processes and pervasive technology come together and offer an innovative and clever solution to our industry,” said Larry Kettler, CEO of Procede Software. “By greatly reducing time on administrative tasks, such as transcribing notes and entering data into multiple business systems, sales professionals can focus more time serving their customers’ needs, which is what dealerships want.”
With Telenotes CRM, dealerships can expect to strengthen customer relationships, have more accurate customer insight, energize sales efforts, and grow the potential for increased revenue. Telenotes CRM also includes follow-up functionality to help sales teams identify prospective leads and set scheduled reminders to contact customers.

Procede Helps Announce the ATD 2018 Truck Dealer of the Year
Members of our team traveled to Las Vegas last month to attend one of the trucking industry’s biggest events, the 2018 ATD Convention & Expo. At the show, we had the opportunity to meet face-to-face with hundreds of commercial truck dealer owners and principals – representing over 700 truck dealerships from around the world. In addition to attending the event, we also exhibited in the ATD zone at the Westgate Las Vegas Casino & Resort, alongside our partners Arcadium Technologies, Elite Extra, and Telenotes.
While attending and exhibiting at the ATD Show was exciting, one of the most memorable parts of the show for us was presenting the ATD 2018 Truck Dealer of the Year award. For the fourth year in a row, Procede Software had the opportunity to share the stage with Heavy Duty Trucking magazine and all of the other upstanding nominees to help announce the winner of the 2018 Truck Dealer of the Year. This year, Rick Reynolds, president of Peach State Truck Centers in Norcross, GA, won the award and Procede was among the first to be able to congratulate Rick on a well-deserved win.

Introducing New Improvements to Our eLearning Site
To better serve our customers, our eLearning site recently underwent a course restructure to improve ease of accessing information. One key change you’ll notice is that our web applications now have their own, department-specific courses, Lease-Rental Web App and Service Web App Suite, and are no longer listed under the Excede DMS New Version Features course as they had been historically. The Excede DMS New Version Features course is still available and recommended for employees wanting to learn about key product feature changes from version to version within Excede.
If you’re looking for something specific and are unable to find it, please be aware that all content remains but may be in a different location.
These new courses are available immediately and anyone that started or completed the included topics in their previous locations have been automatically assigned to the new course(s) with their progress transferred. For management of these courses going forward, the process for adding and assigning users to these courses, as well as emailing credentials, will remain the same for eLearning Administrators. For assistance with these tasks, please view our comprehensive how-to guide on the eLearning homepage.
As a reminder, the WBI course is a great resource for new employees providing an all-around introduction to Excede and each department. It is recommended that all staff have logins for both eLearning and the Procede Customer & Resources Portal.
Enhance Your Reporting Skills with Hands-on Data Insight Training
You asked for it, and we are proud to have made it happen! Due to popular demand, we are excited to announce our new hands-on, instructor-led Data Insight training. The training covers a range of material that is relevant to all Data Insight users, whether you want to feel more comfortable running and manipulating reports, or learn the features to produce them.
Participants will complete training with a general understanding of Data Insight tailored to their specific role or user type. Some common roles and corresponding skills are:
- Viewers – Learn how to search, run, understand, and manipulate existing reports
- Designers – Learn how to communicate report requests effectively
- Writers – Translate requests and create a visual representation of data

Announcing the Successful Release of Service Web App v1.0
Procede Software is proud to announce the release of the Service Web App v1.0, an innovative service optimization solution for our dealership customers. Service Web App adds to our extensive list of role-based applications that enhance the Excede® Dealer Management System (DMS) functionality.
Service Web App v1.0 provides users with multiple web-based service tools combined seamlessly into one application. Tools in this first release include Work Room for work status display in service shops, Wait Room to focus attention on the needs of waiting customers, and a Dashboard to highlight key issues and concerns.
Service Web App offers several notable enhancements compared to Service Board, its predecessor, including:
- Single Sign-on (SSO): Permits users to conveniently navigate from one application to the next without any additional login requirements.
- Kiosk Mode: Allows for multi-user viewing by disabling all features that are not appropriate for multi-user display and workflow.
- Automatic Scrolling: Enables service technicians to view the status of their work without having to manually scroll or change their screen size.
- Automatic Branch Rotation: Enhances efficiency by utilizing an “in-session” setting that auto-rotates through all branches of the dealership.
“Dealerships are increasingly focused on improving customer service, decreasing vehicle downtime, and optimizing shop efficiency. The Service Web App is just one more solution to help Excede® DMS customers reach these goals,” said Shawn Butler, Director of Product Marketing and Strategy.
A group of 12 dealership customers participated in the Service Web App v1.0 Insider Program, which provided Procede Software with valuable feedback about this new product, and ensured that it was customized to suit its dealership customers’ needs.

Procede Software Integrates Record360 Asset Documentation into Excede Lease-Rental
Procede has partnered with Record360, the leading software for digital asset condition documentation and asset condition management, to create the Excede Record360 Integration v1.0. This integration provides dealers with Excede Lease-Rental v1.1+ an automated way to manage real-time visibility into asset condition and service needs across their customer base and multiple dealer locations. Asset condition management has traditionally been managed using outdated, slow, paper-based processes. With Record360, Excede Lease-Rental users will not only save time but are also likely to see reduced damage claims and related expenses, leading to increased customer satisfaction.

Announcing the General Release of Decisiv v4.0.
Procede is proud to announce the release of Decisiv Integration v4.0. As one of Procede’s Certified Partners, Decisiv offers a suite of OEM-specific Service Relationship Management (SRM) solutions “for fleets to effectively manage and measure internal and external service and repair events to drive uptime and asset availability”. Our Decisiv Integration allows important information in Decisiv to be synchronized with Excede, without any manual or duplicate entries.
Just a few of the many notable features of the v4.0 integration are:
- The ability to create new Repair Orders (ROs) in Decisiv and export them to the DMS
- Excede customer data is regularly exported to Decisiv by a new scheduled task
- Condition, Cause and Correction information is automatically posted back to Decisiv once ROs are closed in Excede
- Responses to parts pricing requests from Decisiv to the DMS will now include the best pricing option from either managed parts or price tapes, depending on part status and inventory on hand
- You can now add miscellaneous and sublet items to an Excede RO from Decisiv, even after the initial RO push from Decisiv (but previously pushed items cannot be updated)
Decisiv Integration v4.0 will be white-labeled depending on your OEM as Decisiv, MVASIST or WheelTime LINQ. This integration is compatible with Excede DMS v9.18, v9.19 and v9.20. The pending v4.1 and v4.2 releases of Decisiv will be compatible with Excede v9.21 and v9.22 respectively (but will not have any other significant changes).

Announcing Excede DMS v9.21 & Lease-Rental Web App v1.0.
Procede is proud to announce the general availability of Excede DMS v9.21. This major release of our core Dealer Management System includes a wide range of new features and functionality for Lease-Rental and other dealership departments. This new DMS functionality is extended even further by the concurrent release of the v1.0 Lease-Rental Web App, a seamless add-on to Excede, and a vastly improved set of Lease-Rental reports for Data Insight.
New Excede DMS Features
- New Reservation and Returned statuses are available on contracts.
- Reservation. Since the same vehicle can be reserved for different customers or time periods, a unit can exist on any number of Reservation contracts.
- Returned. This status allows a returned vehicle to be reserved or rented again without having to completely close the contract at the time of return.
- Insurance policy information has been moved to the customer record and will auto-populate on new contracts when valid.
- Vehicle meter readings can be added and updated on the vehicle record. A new Meters tab is available on the vehicle record for these entries. Posting bills with metered charges will also automatically update the unit to the new meter reading for all meters on the bills.
- It is now possible to create a substitute vehicle Lease-Rental contract. Substitute vehicle rental contracts will follow their own specific set of rules and link to the original Lease agreement.
- Intuitive Lease-Rental codes, including specific charge types for Odometer and Hours, plus subcategories for hours and time, make it easier to track meter entries and create bills.
- Code Pricing setup allows for automatic price setting for specific codes based on criteria through Excede, including pricing for specific customers, specific vehicle types, pattern matches, the use of Card Rate settings and a new formula feature.
- Preventative maintenance can be setup to automatically apply to a vehicle or group of vehicles with a new field to specify Vehicle Type, as well as the Meter Type under Service Jobs. Meter Type is also now available under the vehicle record for vehicle specific jobs.
- Depreciation GL entries can be made automatically.
- New features are available to better handle posting vehicle orders for automatic accounting, including accounting for accumulated depreciation balances on sales.
- Dextor can be invoked to create a Recurring Entry, and dealerships can import their own Dextor-compatible custom amortization worksheets.
New! Lease-Rental Web App v1.0
This web application is an optional add-on for Excede DMS v9.21+ that is intended to offer faster lease and rental meter entry, and easier rental reservations. The web interface also includes access to key DMS information related to Lease-Rental operations, including searchable Bill, Contract, Customer and Vehicle pages. Key features include:
- When you log in, the Dashboard page displays interactive tiles with quick links (shortcuts) to common tasks.
- Rental reservations can be created using a simple, intuitive workflow, followed by a simple check-in and check-out of rental vehicles.
- It’s easy to create substitutes for leased vehicles. If a leased vehicle breaks down, for instance, substitute rental vehicle can be setup in seconds.
- Lease-Rental billing functionality allows for the quick entry of meter readings—such as refrigeration unit hours, engine hours, odometer miles or kilometers—and the creation of usage billing automatically.
- The web application has been written to support seamless integration of telematics information, allowing you to fetch real-time meter readings on telematics-equipped vehicles. For new installs, telematics are disabled by default. Dealerships interested in utilizing telematics should contact Support Services for information on pricing and setup. Please note, the initial release of the application is solely compatible with the telematics provider CyntrX®.
New! Data Insight Lease-Rental Reports
Reporting is an integral part of managing your Lease-Rental operation. In order to provide easy access to even more real-time business intelligence, Data Insight’s standard Lease-Rental reporting package has been completely overhauled to include several new and improved reports:
- Expiring Entity Maintenance shows Contracts and the expiration date of the Insurance Policy, Drivers Licenses and Plates.
- Rental Revenue Detail uses the Balance Forward schedule to show revenue per vehicle.
- Rental Fleet Status displays the number of units in certain states (i.e., Available, Rented, Deadline, Substitute and Total).
- Preventative Maintenance shows all units with scheduled jobs, including an option to filter for only those with jobs overdue by date or by meter.
- Yard Check shows units on the lot, a history of rental activity and more.
Additional new (or updated) reports also include Profit & Loss, Fleet Profile, Service & Billing History, Units by Return Date and many more.

New training tools and resources available.
The Training Department is here to help you get familiarized with Procede’s ever-growing product line, which is why we’re excited to announce some new tools and resources available for you and your team.
Service: Time Clock Video
The latest in our suite of eLearning videos, Service: Time Clock, introduces the web-based Excede Time Clock and is intended for new service technicians. As part of our Key Concepts course, this video is free to all users. It should not be confused with the existing Excede Time Clock videos, which provide a general introduction to the product and introduce new features. These are available through our WBI and New Version Features courses.
If you are unsure of how to give a new technician access, there is an Admin How-To guide located on the home page of the eLearning site. This provides eLearning Admins step-by-step instructions on how to create users, assign courses and email credentials.
New Hire Checklist & Confirmation Sheets
These Excede-specific on-boarding checklists are intended for HR, IT and/or direct managers, and can be incorporated into an existing list of items that you complete when setting up a new employee and creating a training plan. The checklists will be accompanied by a confirmation page where employees can verify that they've completed specified tasks and confirm their job knowledge. There is also a place for the employee, as well as a manager, to initial and "sign off”.
Our eLearning site also provides training content, including introductory videos for new employees, New Version Feature information, and much more. It is recommended that all staff have logins for both eLearning and the Procede Customer & Resources Portal.

More exciting changes are coming to Procede Software!
As many of you know, communication is one of our core values here at Procede Software and something we are always striving to improve. We want to make sure we keep you up-to-date on all the latest Procede news, while also letting you choose what kind of information is important to you.
In keeping with this, we are excited to announce the new Procede Software Marketing Communications distribution list. You will now be able to easily self-manage the types of marketing communication you want to receive, such as our quarterly newsletter, monthly webinar announcements, upcoming event details, and more!
Your Marketing Communications Profile allows you to update your contact information and change your preferences at any time, simply by clicking the update your preferences link at the bottom of any marketing email.
If you were previously signed up to receive the newsletter and/or training emails, your subscriptions have been merged into our new system and you will continue to receive these communications just as you did before.

Procede Software is pleased to announce the appointment of Robert Stockfleth as the company’s new Chief Technology Officer.
In his new role, Stockfleth will be overseeing the technical architecture of current products, modernizing legacy applications and working closely with the Product Management team to devise strategies for implementing new features into Procede’s industry-leading dealer management system, Excede DMS.

Stockfleth has an extensive background in software development and information system design spanning more than 16 years. Announcing Data Insight KPIs & Metrics.
Measuring your dealership’s success just got easier. As part of our ongoing commitment to deliver the data you need to drive performance, we are pleased to announce the release of our new suite of Data Insight Key Performance Indicators (KPIs) & Metrics. KPI dashboards are powerful, executive-level report summaries that combine financial data with operational data pulled directly from Excede DMS.
Dashboards are available for each major department within a dealership, including Parts, Service, Lease-Rental, Corporate and New/Used Sales. Each KPI dashboard consists of up to 11 individual reports ranging from Financial Summaries and Gross Profit to Operational Ratios and Expenses.
These powerful tools work in unison with the updated functionality available in Excede v9.20 and Data Insight v2.1.1.
The new Excede General Ledger (GL) Categories allow a descriptive grouping of the GL for reporting purposes. This grouping is fundamental to the KPIs, as it is where the separation of departments is created. Procede Support will be available to help you build and organize your GL categories.
Data Insight has also been updated to work seamlessly with these new GL Categories and related KPIs & Metrics functionality. The KPIs can be automatically run and delivered to key personnel at critical points in time, such as month-end, using Data Insight’s powerful Scheduler feature. This allows time-sensitive data to be captured and archived without any human intervention- an extensive improvement in convenience and reliability.
Please note that your dealership will need to install and run the latest versions of Excede and Data Insight in order to access the KPIs & Metrics reports and dashboards.

Announcing the general release of Data Insight v2.1.1.
Following our recent release of Data Insight v2.0, we are pleased to announce the general release of Data Insight v2.1.1, the latest version of our advanced business intelligence tool. Data Insight v2.1.1 includes several new updates and enhancements designed to provide better navigation and an improved user experience.
Key new upgrades include:
The Report List will load much faster, allowing you to login and get to work more quickly. Stored procedures are now loaded separately from client logins and are only loaded into the server cache when a report is opened or built that requires the data.
Report and dashboard thumbnails
Graphical thumbnails will be displayed in v2.1.1, making for a much improved graphical Report List and easier navigation.
Menu and navigation updates
The v2.1.1 header bar has been overhauled to reduce the amount of vertical space that is used, so there is even more room to see your reports on every page. The new header also provides several additional improvements, including a contextual page title (e.g., “Report List”) to assist in navigation, and a new “hamburger” menu (≡).
The Settings menu, previously the gear icon, will now be a submenu under the Hamburger menu and allows users to access common features and various setting options. The options listed in the Hamburger menu are based on the role of the logged-in user (Report Viewer, Report Writer, Administrator, etc.)
Additional data sources without restrictions
In prior versions of Data Insight, there were two sets of restrictions that controlled where tables, views and stored procedures in the Excede database could be included as data sources in reports: 1) The first restriction was a hard-coded limitation where only Excede native data sources could be used (and not customer-created stored procedures); 2) The second restriction was enabled via selections on the Stored Procedures page (deprecated in v2.1). Both restrictions have been removed. Custom tables, views and stored procedures in the Excede database now appear as available Report data sources by default, and the Stored Procedures page has been removed entirely.
Easier refresh of data sources
In the past, changes to data sources (e.g., changing column name in a table) would not easily update in Data Insight. To overcome this, there is now a manual “Refresh Sources” link under the Hamburger / Settings menu that allows users with appropriate privileges to force a source update at any time.
SQL functions in field expressions
To provide Report Writers who have SQL experience with more flexibility, Field Expressions now support more SQL Functions. These new SQL functions can be used to convert data types, count values, calculate differences, check values and round values. Nested CASE statements are also supported.

Calling all Data Insight users! In our continuing effort to expand and enhance our training offerings, we’re excited to announce that the latest Data Insight training videos can be viewed on our eLearning site (login required.) From navigation and scheduling to report writing, you can learn about all the features available within Data Insight v2.0 and start sharpening your skills today! We’ve even improved the format of the videos by shortening them to focus on a single topic, making the information more easily digestible.
While all customers contracted for Data Insight will automatically have this course available, those who do not yet have access to eLearning, or are not yet assigned this course should contact their eLearning administrator. eLearning administrators can create users, assign the course and email out credentials to any users they want to grant access to.

Important Reminder: Windows XP support is ending.
On April 8, 2014, Microsoft will cease to support Windows XP. This doesn’t mean that your computer will stop booting up. It may still work, still run, and still be usable. However, Microsoft will stop updating the software, so any new vulnerability that is found will not be patched and your system will be exposed. Even if you have an active Microsoft support contract, Microsoft will not help you with any issues related to XP. In addition, fewer and fewer programs will support XP— Procede’s Excede included. All future versions of Excede DMS will NOT run on Windows XP.
